ENTER and SUBMIT AN ABSENCE
This guide is intended for permanent employees who need to enter an absence, whether for one or several days.
IMPORTANT INFORMATION
- You must have your manager's approval before adding any absence in the system, including personal days.
- It is important to note that you do not have access to absences related to extended sick leave (disability). If this is the case, you must notify the Human Capital team. A member of the Human Capital team will take care of entering this specific type of absence into Oracle.
After reading this guide, you will be able to enter an absence, submit it for approval, or modify it if necessary.
If you have any questions or concerns about the correct way to record your absence, or about the types of leave you are entitled to, please consult your manager, project manager, or your Time and Absence Approver (ATA).

1. Add an absence
Once logged in, from the homepage, click on Me and Time and Absences.

Now click on Add Absence.

You must choose the Type of absence from the dropdown menu.

Complete the start date and end date and add comments if needed. The duration is calculated automatically.
For specific cases (ex.: training, bereavement leave, maternity leave, paternity leave, or parental leave), a comment will be required to explain the reason for the absence.
You can see the remaining balance of your vacation in the top right corner.
Click Submit.




2. Approval of an absence request
Once submitted, you will receive a notification stating that your leave request has been submitted for approval.

Your Time and Absence Approver (ATA) will receive a notification indicating your leave request.
Once approved, you will receive a notification stating that your leave request has been approved.


Attention: you will still need to complete the timecard and submit it within the given deadlines.
All employees who need to produce a timecard and
plan to be absent for a period of 5 consecutive working days
or more must ensure that they generate their timecard,
even if they do not have a project or administrative time to enter.
A missed timecard could impact your pay.
3. Modify an absence request
a. Saved absence
It is possible to change your absence only if it has not yet been approved. In other words, if you have entered your absence and have not submitted it for approval, you can modify it.
To do this, click on the home button
.
Then click on Time and Absences and select the Existing Absences option.

You will see your submitted or saved absence requests and their status.

Select the absence you wish to modify by clicking on the pencil icon on the right side of the screen. 
Once you have made the changes, you can save the absence request again and submit it later by clicking Submit.
b. Approved absence
If you wish to modify your approved absence request that has an Awaiting approved status, you must first inform your manager by email.
It is important to know that only the payroll, billing, and Human Capital teams are able to make changes to your absence request. They will be able to inform you if the change impacts payroll or billing and the best way to make the adjustment.
For any questions regarding this procedure, please consult your manager or the Human Capital team.
4. Check absence balance
You can click on Absence Balance to see your vacation or sick leave balance, that is, what you have accumulated (ex.: personal days, and vacation)


5. View the calendar
In the Calendar section, you can see your schedule, your absences, and the public holidays in your region.
